Site Manager/Handy Man - Job Description

OVERVIEW

           This position is for a Site Manager/Handy-Man (a 60+ unit condominium in Waikiki). The candidate will be responsible for the day-to-day operations of the building, to provide a clean, safe, and secure environment for the residents. This includes building maintenance, conducting administrative activities, vendor/service management, and performing minor repairs in the public areas. The candidate must be familiar with building systems and operations. The person must be energetic, detail-oriented, and have a positive attitude. They need to be attentive to resident needs and handle their issues in an efficient, courteous manner.

HOURS

           Monday to Friday: 8:00AM – 05:00PM including One Hour for Lunch

          Available for Emergencies 24x7

DUTIES

Building Cleaning – The Site Manager must keep the interior of the building pristine. This includes washing/vacuuming all floors, elevators, laundry rooms, chute lanais, emergency staircases, and lobby. Must keep the trash room, parking levels, ramps, entrance carpets, lobby windows, and storage area clean. Keep flower beds, garden, and grounds around the building clear of debris.

           Vendor Management – Assist vendors by engaging them as needed for repairs/maintenance and providing them access to the building, as needed. Perform a visual inspection of all work performed for completeness. Maintain file in the office of all contracts and vendors.

           Ongoing Repair and Maintenance –The candidate must have carpentry and painting skills, with hands-on experience performing basic building and minor plumbing repairs. This includes fixing door hinges, repair pipes, wall repairs, unclog trash chute, change electrical outlets/switches and light bulbs. For repairs that require an outside professional, the Site Manager must seek 3 competitive bids for the job, and demonstrate to the Board, the rationale used in selecting a particular service provider. We want quality work at a fair and reasonable price.

Enforce House Rules and Issue Fines to Violators - This includes issuing Warnings/Fines for smoking, loud noise, improper disposal of trash, clutter on lanais, etc. Document and issue summons to owners who are housing transient residents, including vacationers.

Guest Parking Management – Proactively monitor the Guest Parking Spots for unauthorized use, or habitual reuse by the same individuals. Issue warnings and fines accordingly.          

Process New Residents (Owners/Tenants) – Have new residents complete a Resident Profile Sheet (Name/Auto Details/Phone Numbers/Emergency Contacts, etc). Obtain a copy of each new tenant lease, to verify the term is at least 6 months. Program the Front Door Access System with the residents’ local number. Provide tenants with a copy of House Rules.

Security Camera Monitoring – Be vigilant for vandalism and unwanted activity by watching monitors in the office, connected to cameras throughout the property. Investigate incidents of vandalism and unacceptable behavior by searching recorded security footage and FOB key access records stored on the Office PC. Engage Police, Ambulance, and Fire Department as needed. Give verbal warnings and/or issues fines for House Rule violations.  

           Property Management Support – Carry out assignments presented by the Property Manager or Board Members

           FOB Key Management – Issue, Replace, and Collect/Delete FOB Keys from residents as requested. FOB Key Management is via a Computer Based application.

Storage Locker Management – Keep inventory of in-use and available storage lockers. Send payment reminders and collect payments from occupied lockers. Remove the contents of storage bins and remove locks for those that are in arrears. 

           Coin Operated Laundry Management – Provide Dual Control by observing the collection and counting of coins collected by TW Systems Company representative. 

           Monthly Readout At Board Meetings – Provide a summary at Board Meetings on the activities performed in the prior month.

           Off Hour Emergency Response 24x7 – Site Manager will respond to building emergencies as needed. The Board will outline what constitutes an emergency and the Site Manager will be compensated accordingly.

JOB REQUIREMENTS

  • Previous Experience as Site Manager and Handyman
  • Be able to perform minor repairs needed around the building
  • Must have Drivers License and Automobile
  • Willing to undergo a Background/Credit Check
  • Must provide a Resume
  • Live in the Waikiki area to respond quickly to off-hour emergencies
  • Computer proficiency. Working knowledge of Microsoft Word, Excel, & Outlook
  • Configure and troubleshoot a Windows-based PC and Epson printer
  • Configure and troubleshoot Spectrum Router with WiFi capabilities
  • Excellent command of the English Language (Verbal/Written) to effectively engage vendors, communicate with Property Managers, and assist residents
