Part-Time Administrative Assistant
Scope of the Position:
Part-Time Administrative Assistant/Residential Specialist for a Kakaako condominium. This person will assist in the day-to-day building operations. Must be dependable, work independently, work with the other management staff, have good communication skills, a positive attitude, willingness to learn, be proactive and willing to provide excellent customer service to the residents with a spirit of aloha.
Responsibilities:
· Answer telephones.
· Assist with tenant service requests and inquiries from residents and the public regarding parking, lockboxes, etc.
· Maintain the public parking rentals.
· Type documents, create databases, and data inputting.
· Preserve the quiet and safe enjoyment for residents, guests and staff.
· Prepare and maintain reports and records regarding guest and visitor incidents, maintenance, personnel matters, and other reports and records directed by the General Manager.
· Type documents, create databases, record photos and videos, make statements, written daily reports along with photo documentation.
· Register visitors and vendors.
· Ensure visitor cars are registered.
· Camera surveillance.
· Communicate with tenants and owners regarding covenants, rules, and violation notices.
· Enforcement of house rules (write tickets, warn rules violators).
· Address or record concerns, complaints, or maintenance items.
· Work with site vendors and contractors and respond to their needs.
· Receive and disburse packages and mail deliveries.
· Monitor cart use and collection within common areas
· Work with first responders during emergency situations
· May be required to work on some holidays and some Saturdays.
· Other administrative duties as directed by the On-site manager
Minimum Qualifications:
· Must have a high school diploma or GED.
· Must have an intermediate level of computer skills with word and excel.
· Strong written and verbal communication skills, including use of email to correspond, open documents, forward photos from mobile device and computer.
· Ability to communicate in a professional manner with tenants, employees, and vendors.
· Dependable, detail-oriented, and excellent customer service.
· Prefer at least 2 years work experience in a customer service/hospitality/real estate related field.
