Imagine living and helping manage a prestigious resort-like property that is like no other in Hawaii and working directly with one of the most highly respected General Managers on Oahu! *A 1-bedroom, on-site condo unit is part of the compensation package.* Currently seeking qualified candidates for Assistant Manager of the Mauna Luan, a large, resort-like, self-managed condominium in East Oahu. As a self-managed property, all fiscal management is in-house, and one of the primary responsibilities of the Assistant Manager. The Assistant Manager will be responsible for accounting, administrative and human resources functions including accounts payable, accounts receivable, and general ledger; maintain employee records, and assist in the front office. This position will work in conjunction with the General Manager to organize and manage projects around the property and assist with the day-to-day operations of the Mauna Luan. Excellent communication skills needed.
Responsibilities:
Administrative: • Is responsible for implementing workflow procedures based on direction from the General Manager. The duties include supervising employees during day-to-day tasks, providing resident/owner support and managing the overall workflow of the workplace. • Field incoming telephone requests and concerns; schedule water shutdowns, outages, moves, reservations, and appointments. • Register and orient new residents/owners including assisting with completing registration forms, issuance of security keys, fee collection, preparing/issues parking decals, and maintaining official records. • Draft correspondence, create forms for internal use, oversee incoming and outgoing mail. • Be familiar with computer operation and office software such
Accounting: Maintain accurate financial records; ensure accurate and timely disbursements and verify legitimacy of financial transactions. Ensure all required paperwork is accurate and on file prior to disbursing funds. 1. Ensure adequate funds are available in operating accounts and funds are in separate accounts. Monitor delinquent accounts and reserve accounts statuses. 2. Process data entry and posting of all cash receipts. 3. Ensure all account information is current and updates performed in a timely manner. 4. Prepare and mail billing statements. Prepare bank deposits. 5. Handle requests about status of apartments from escrow companies. 6. Prepare invoices for General Manager’s approval. Pay all invoices on time. 7. Prepare checks for signature. Maintain signature authorization records for each bank account. 8. Maintain accurate audit trail for payments. Assist auditor in obtaining bank verification and other financial information. 9. Balance and maintain general ledger. Prepare all general ledger entry forms. Transfer any summarized details in separate ledger or computer files to general ledger. 10. Prepare financial reports, including all monthly, quarterly, and annual federal and state reports. 11. Prepare withholding, social security, and other tax reports. 12. Ensure all tax reporting is completed in a timely manner. 13. Assist with preparing and mailing budget reports. 14. Compile financial reports such as cash receipts and expenditures, accounts payables and receivables, profit and loss, etc. for statistical use. 15. Maintain current information on investments to provide updates to General Manager. 16. Report any irregular financial activity to General Manager immediately. 17. In collaboration with treasurer, General Manager, and attorney, collect delinquent maintenance fee payments in accordance with collection policy. 18. Act as the organization’s liaison with financial institution representatives.
Human Resources: • Ensure employees files are up to date with proper documentation of personnel actions and other necessary information for payroll and other uses. • Provide employee information to authorized persons. • Assist with payroll processing by computing wages and recording payroll information. • Compile and maintain records for employee benefits administration. • Generate document masters used by all departments. • Other duties as assigned by the General Manager.
Requirements: • General accounting experience required. • Previous office management experience preferred. • Human resources and payroll experience preferred. • Ability to work independently. • Ability to operate office equipment.
